Clients access documents based on permissions defined by their role and may download and print documents at any time. MRN utilizes the document management system to improve efficiency and reduce costs. We can accept documents in native, electronic format or can work directly with your scanning and coding vendor to facilitate imaging and uploading of documents. Key Features The Medical Resource Network utilizes a customized version of Xerox Docushare, an industry standard web-based document management tool, as the foundation for their document repository. Docushare was specifically built to support online document collaboration, searching, and presentation. The repository supports all file types, from scanned content to office documents and emails, and enables indexing for fast search and retrieval. This allows users to quickly and easily bring diverse content types into a secure, indexed, and searchable repository where they can be shared and managed. All textual content, including metadata, within the repository is indexed allowing for quick full-text and metadata searches. The system supports check-in/check-out functionality, versioning and version control. Access can be assigned on a document and document version level. The repository includes multi-step document routing, including the ability to automatically route content for review without user intervention, email management, and notification and alerts. The repository is accessible using a web browser (Internet Explorer) or through a client interface. Security, System Management, and Hosting To ensure system availability and security, MRN monitors and maintains the security, server, and system component. MRN takes several steps to protect the server and database. Perimeter security is provided by a Cisco Pix firewall. Strong passwords are required. Resetting of passwords will be performed by MRN’s administrative staff and will require verification via email and follow up phone confirmation. Physical security provided by biometric hand scanners, card keys, and visual confirmation to ensure that only authorized customers have appropriate access to the hosting facility. The data center is monitored and recorded via hi-resolution digital video cameras. There is CCTV digital camera coverage of the entire center, including cages, with archival system, CCTV integration with access control and alarm system, and motion-detection for lighting and CCTV coverage. The repository server and firewall are housed in a locked cabinet within a locked cage. Only MRN administrators have access to the cabinet. MRN will ensure the availability, integrity, and confidentiality of the system and data 24/7. |
